Mac Eng equipment rental terms and conditions

In order to reserve and borrow equipment maintained for Faculty use by McMaster Engineering Communications (MEC), it is necessary to read and accept the Terms and Conditions.   

Responsibility and liability   

1. Students are responsible for the condition and possession of all borrowed equipment.  

2. In cases where equipment is lost, stolen or damaged, the theft, loss or damage must be reported immediately (or upon return, in the case of damaged equipment) to MEC. Failure to report damaged, lost, or stolen equipment may result in a temporary suspension of borrowing privileges.  

3. In cases where equipment is lost or stolen, the replacement value of the lost or stolen equipment will be charged to the Club/Team.  

4. In cases where equipment is damaged beyond repair, the replacement value of the damaged equipment will be charged to the Club/Team.  

5. In cases where equipment is returned to MEC in damaged, reparable condition, MEC reserves the right to levy an amount equal to the cost of the repair to the borrower’s Club/Team. You will be notified upon return or via email after returning equipment if repair fees are levied on your account.  

6. In cases where equipment needs to be repaired or replaced, borrowing privileges will be suspended until one of two conditions have been met: i) an online ‘Fee Appeal Form’ is submitted for review (see below for details) or ii) an online ‘Appeal Waiver Form’ is submitted. See the ‘Waivers and Appeals’ section below for further details.  

7. Students are financially responsible for the replacement value of damaged or lost equipment. As noted above, the replacement value of damaged or lost equipment will be charged to the borrower’s Club/Team. Under no circumstances should students undertake to replace or repair the equipment on their own.

Reserving and borrowing equipment   

8. Equipment may be reserved online and picked up from the JHE A214.  

9. Reserved equipment must be picked up between 9 a.m. – 4 p.m. on the chosen pick-up day or the reservation will expire.      

10. A valid student card must be presented to MEC Staff when borrowing equipment. Failure to present a valid student card will result in a temporary suspension of borrowing privileges (until such a time as a valid student card is produced).  

11. As a courtesy to other students, all equipment is due back by the agreed date.  

12. Max rental period is three days. If you require the equipment for longer, please include your reasoning in the form below and MEC will be in touch to confirm if it’s allowed. 

13. Equipment can be reserved up to one week ahead of pick up.   

Late fees   

14. Late fees levied against student borrowing privileges will be administered by MEC and passed to Club/Team as detailed below.  

15. Students have up to 3 working days to submit an appeal before the amount outstanding is levied against Club/Team.   

16. Clubs/Teams with unpaid late fees will be unable to rent equipment moving forward. Borrowing will be reinstated if an appeal is submitted and accepted or late fees are paid.20. In cases where equipment is not returned on time, the late fee calculated will be the amount levied against your Club/Team.  

17. Late Fees for failing to return equipment by the agreed date, will be calculated as follows: i) On the scheduled day of return after the grace period ends – $20.00 ii) Each 24-hour period thereafter at the original return time (late fee per borrowing period) – $20.00  

18. Extension requests must be directed to engcomms@mcmaster.ca in a timely manner.   

Waivers and appeals   

19. Students may appeal their fees by emailing engcomms@mcmaster.ca stating their case for why they should be excused from any of the fees. 

20. Students have 3 business days to submit an appeal before their fees are automatically applied to their Club/Team.  

21. Fees include late penalties, replacement or repair fees (as detailed above).  

22. The Communications Manager shall adjudicate all appeals, consulting with MEC staff members at the manager’s discretion and render a decision.  

23. The Manager’s decision is final (cannot be appealed) and may take up to 5 business days.  

Extensions   

24. Students may request extensions by emailing engcomms@mcmaster.ca. Extensions are not guaranteed.  

25. Failure to request an extension will not prevent late fees and/or suspension of borrowing privileges.    

Communications   

In submitting this form, you agree to the Terms and Conditioned detailed above. Additionally, you agree to receive messages from the MEC team.  Communications will be sent to your McMaster email account from: engcomms@mcmaster.ca.  

Terms and Conditions (Subject to Change)   

MEC reserves the right to update, change or replace any part of these Terms and Conditions at any time and such changes will be effective immediately upon being posted on the site. By continuing to reserve and borrow equipment after we post any such changes, you accept the agreement, as modified.
